How to manage customers

Guide to creating and managing B2B and B2C customers in QuoteNode.

Managing customers

QuoteNode supports both B2B (company) and B2C (individual) customer types. This guide covers creating, organizing, and tracking customers.

Creating a customer

Navigate to Customers and click New Customer.

B2B (Company)

Required fields:

  • Company name
  • NIP (tax identification number) — used for automatic deduplication

Optional fields:

  • VAT-EU number (for EU cross-border invoicing)
  • Website, email, phone
  • Billing address, shipping address, and additional addresses
  • Custom discount percentage (applied globally to offers for this customer)
  • Tags and customer group assignment

B2C (Individual)

Required fields:

  • First name and last name

Optional fields:

  • Email, phone
  • Address
  • Custom discount percentage
  • Tags and customer group assignment

Contact persons

For B2B customers, you can add multiple contact persons:

  • Navigate to the customer detail page
  • Click Add Contact
  • Enter: first name, last name, position, email, phone
  • Mark one contact as primary and/or decision maker

When creating an offer, you can select a specific contact person to appear in the offer header.

Customer lifecycle

Every customer has a status:

  • Lead — initial contact, not yet qualified
  • Prospect — qualified, actively pursuing
  • Client — has accepted at least one offer
  • Inactive — no recent activity

Status transitions are tracked on the customer timeline.

Activity timeline

The customer detail page shows a chronological timeline of all interactions:

  • Customer created
  • Offers created, sent, opened, accepted, rejected
  • Notes added by team members
  • Activities logged (calls, meetings, emails)
  • Reminders set and triggered

Tags and groups

  • Tags — color-coded labels for flexible categorization (e.g., “VIP”, “Referral”, “Government”)
  • Customer groups — segments used for pricing rules (e.g., “Wholesale”, “Retail”, “Partner”)

Deduplication

QuoteNode automatically checks for duplicate customers:

  • B2B: by NIP (tax ID)
  • B2C: by email address

If a potential duplicate is found, you are warned before creating the record.

Reminders

Set reminders on any customer:

  • Follow-up calls
  • Contract renewals
  • Birthday or anniversary
  • Custom dates

Reminders trigger in-app and/or email notifications when due.
